Short Answer

Cost per acquisition (CPA) is total spend divided by policies written. For calls, divide the average price per billable call by your close rate on billable calls: $52 per call at a 13% close rate is $400 per policy. Your break-even price per call is the revenue you keep per sale multiplied by your close rate. Run your own numbers in the calculator below before you raise a bid.

Key Takeaways

  • Cost per acquisition (CPA) equals total spend divided by policies written.
  • With calls, CPA equals price per billable call divided by close rate on billable calls.
  • Your break-even bid equals the revenue you keep per sale times your close rate.
  • Cut the analysis by state and hour before deciding to raise or lower a bid.

Every agency eventually asks whether its call budget is working. The answer is one number: what it costs to write a policy. This guide shows how to calculate it from your call records and how to use it to set a bid.

Example Numbers Only: The figures below are illustrations to show the math. They are not benchmarks or predictions. Use your own close rates and revenue.

The Core Formula

Cost per acquisition is total spend divided by sales. For a call campaign, you can also work it per call:

  • CPA = total spend ÷ policies written
  • CPA = price per billable call ÷ close rate on billable calls

Use billable calls in the denominator, not every call that rang. Non-billable calls cost you nothing in purchase price, though they still cost agent time.

Finding Your Break-Even Bid

Turn the formula around to find the most a call is worth to you. Start with the revenue you keep per sale after carrier commission splits and chargeback reserves, then multiply by your close rate.

  • Break-even price per call = revenue kept per sale × close rate
  • Example: $600 kept per sale × 13% close rate = $78 per billable call

In that example, any average price below $78 is profitable before agent labor and overhead. Subtract your cost of agent time per call to find the real ceiling, and leave a margin.

Include Agent Time

Calls with long conversations and no sale still cost wages. Add a labor line to CPA when you compare channels: total agent hours on the campaign times loaded hourly cost, divided by policies written. Leads often look cheap until labor is counted.

Slice Before You Decide

A campaign average hides the winners. Before you change a bid, cut close rate and CPA by:

  • State. Licensing, carrier availability and competition all vary by state.
  • Hour and weekday. Answer speed and caller mix change through the day.
  • Agent. A training gap can look like a supply problem.
  • Connected duration bands. Very short billable calls and very long ones often convert differently.

Oracle Leads keeps a record for every call with its state, start time, connected duration and charge, so the segments come from data rather than memory.

When to Scale

  1. Wait for a meaningful sample. A few dozen billable calls per segment is a reasonable minimum before acting.
  2. Scale the segments with CPA well under target first, by raising budgets on those states and hours.
  3. Raise the maximum bid only when your break-even leaves room.
  4. Re-check CPA weekly while you scale. Close rates can drop as volume grows if staffing does not keep up.

Budgets cap the downside: daily and total budgets stop routing when reached. See pricing or read what drives call prices.

Frequently Asked Questions

How do you calculate cost per acquisition for insurance calls?

+

Divide total spend by policies written, or divide the price per billable call by your close rate on billable calls. Both give the same answer.

What is a break-even bid?

+

The most a call can cost before you lose money on it: the revenue you keep per sale multiplied by your close rate, before labor and overhead.

How many calls do I need before judging a campaign?

+

Enough for each segment you compare to be meaningful. A few dozen billable calls per state or hour band is a reasonable minimum before changing bids.
